We are seeking a highly organized and dependable Administrative Assistant to support our

Translation Department Manager. This role plays a key part in maintaining workflow

continuity, ensuring tasks are tracked to completion, and keeping the department running

efficiently.

Key Responsibilities:

Project & Workflow Support:

• Assist the Translation Department Manager with assigning work to translators

• Track project deadlines, deliverables, and follow-ups to ensure all tasks are completed

on time

• Maintain visibility on project status, priorities, and next steps

• Identify missing information, delays, or risks to timelines

• Ensure finalized documents are properly formatted and archived

• Support quality control processes by confirming required review steps are completed

Administrative & Financial Support:

• Create estimates and invoices in QuickBooks

• Assist with preparing billing documentation for completed projects

• Maintain organized digital records (projects, contractors, payments, communications)

• Maintain updated contact records

Contractor Coordination:

• Communicate with employee and freelance translators regarding assignments and

availability

• Monitor deadlines and follow up as required

• Ensure timely and professional communication

• Maintain up-to-date availability lists and resource tracking

General Organization & Support:

• Keep the Translation Department Manager organized and informed on priorities

• Manage departmental emails and task lists

• Assist with documenting workflows and improving internal systems

• Maintain structured digital filing

Asset:

• Experience with Translation / Transcription projects (ENG – IN / IN – ENG)

• Strong organizational and time-management skills

• Strong listening and communication skills

• High attention to detail and follow-through

• Professional demeanor and strong work ethic

• Ability to work independently in a remote environment

• Clear and professional written communication skills

• Ability to safeguard confidential information

• Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)

• Proficiency in Inuktitut and English; French is advantageous

Employment Details:

Salary Range: $55,000 – $65,000 per year

Benefits:

• Travel Benefits (Anywhere in World): $10,000/year

• Housing Benefits: $10,200/year

• RRSP Contributions (After 6 months): 6% of Base Salary

• Paid Vacation: 4 Weeks + Christmas Holidays (2 Weeks)

• Sick Days: 2 Weeks
