POSITION

Job Title: Archival Assistant

Reports to: Archives Coordinator in the Corporate Secretary’s Department 

Location: Montreal

Status of Employment: Permanent, Full-time

SALARY AND BENEFITS

Salary: Between $60,000 and $75,000 annually

Benefits: All marginal benefits available to Makivvik employees annually as 

outlined in the Makivvik Human Resources Policy Manual such as:

RESPONSIBILITIES

▪ Assist the Archives Coordinator with the rehousing of physical records according to 

archival standards.

▪ Support the creation of box lists and file inventories using internal classification and 

naming conventions.

▪ Assist employees with established archival protocols including records transfer 

procedures.

▪ Assist with the digitization of photographic materials.

▪ Assist with electronic records inventory and SharePoint Support

▪ Assist to acquire, appraise, process, catalogue, store, safekeep and research various 

historically valuable corporate materials such as documents, photographs, maps, 

audio-visual materials, artwork and electronic records.

▪ Prepare document descriptions and reference aids for the use of archives, such as 

accession lists, indexes, guides, bibliographies, abstracts, and digitized copies of 

documents.

▪ Participate in staff interviews to gather information about record types, filing structures 

and access needs.

▪ Perform basic data entry and record-keeping for both physical and electronic records 

project.

▪ Maintain accurate tracking logs.

▪ Provide support to the Archives Coordinator and Archivist on special projects as 

required.

▪ Attend weekly Archival Team meetings and provide progress reports and updates.

▪ Be available to travel, when requested.

▪ Any other related duties request by the supervisor.

QUALIFICATIONS

▪ Degree in archival studies, or an equivalent combination of relevant education, 

experience, and/or training.


▪ Working knowledge of document management, archival best practices, and 

stewardship of traditional Inuit knowledge.

▪ Knowledge of Nunavik Inuit culture and experience working with Inuit communities is 

essential.

▪ Fluent in at least two (2) of the three (3) languages: Inuktitut, English, and/or French.

▪ Proficient in Microsoft Office Suite, including Excel, Word, PowerPoint, and 

SharePoint.

▪ Comfortable using Zoom and other online communication tools.

▪ Effective oral and written communication skills, with strong organizational abilities.

▪ Demonstrates cultural sensitivity, competency, and the ability to build strong working 

relationships.

▪ Reliable, punctual, and able to handle confidential information with discretion.

▪ Able to meet deadlines and work well under pressure.

▪ Willing and available to receive training as required.
