Kativik Ilisarniliriniq (KI) is a school board offering educational services in the 14 communities of Nunavik.
FUNCTION & DUTIES:
Under the supervision of the Administrative Assistant of Human Resources, the main role of the Secretary consists in performing various secretarial and pay-related tasks.
SPECIFIC DUTIES:
• Receive and screen phone calls and greet visitors;
• Distribute mail and other documents to coworkers;
• Create employee folders and file documents and records;
• Update and maintain various lists for the department;
• Assist in the preparation of various internal communications;
• Maintain the office supply cabinets well stocked (papers, envelopes, pencils);
• Follow up with Financial Resources on payments, create financial statements and ensure receipt consolidation and expense follow-up, using Excel worksheets;
• Assist in booking various meetings and interviews for the department;
• Book career fair registration and maintain the calendar;
• Book travel and accommodations for the team;
• Assist in the organization of files for the new SharePoint platform;
• Carry out word-processing tasks, send faxes and make photocopies;
• Carry out any other related tasks assigned by her/his supervisor.
QUALIFICATIONS:
Vocational school diploma (Secretariat), or Secondary 5 diploma, or holder of a diploma or credentials whose equivalence is recognized by the relevant authority.
The Board may, at its discretion, waive any or all of the afore-mentioned qualifications if it finds a suitable candidate who is a beneficiary of the James Bay and Northern Québec Agreement (JBNQA) and who accepts, as a condition of employment, to follow a training plan determined by the Board.
REQUIREMENTS:
• 2 years of relevant experience
• Fluency in 2 of the 3 working languages of the Board (Inuktitut, French, and English)
• Proficient with office software applications, and good knowledge of computers
• Well-organized, good team spirit
WORK SCHEDULE: 35 hours/week, from Monday to Friday.
CLASSIFICATION / SALARY / BENEFITS:
In accordance with the AENQ collective agreement for support staff, this position belongs to job category 4113: from $22,18 to $24,13 an hour depending on qualification and experience. All benefits are prorated based on the percentage of the task.
