REPLACEMENT FULL-TIME SECRETARY

INUKJUAQ, QUEBEC

Under the direction of the Director General and the assistant Director General, the Secretary assumes various administrative tasks of a varied and complex nature with his/her management. Plans and organizes secretarial activities in his/her area and follows up on specific operations. Liaise between his/her management and the administrative units of the Nunavik Youth Houses.

Coordinates logistics related to the preparation of the meetings of committees held by management.

Research and collate pertinent information pertaining to it; if necessary, attend certain meetings, take notes of deliberations. Write minutes and submit them to his/her immediate supervisor for approval.

Inform the relevant officials of the decisions and carry out follow-ups arising from these meetings.

See to prepare the correspondence, documents and reports needed by management. Write, correct, and put in place, translate, or fax letters, memos, or other miscellaneous documents.

Read the mail, make the usual checks, process the requests according to the priorities and disseminate the appropriate information.

In the absence of the superior, evaluate the importance of requests, resolve those that do not require his intervention and forward the most urgent to the president.

Maintain the information systems necessary for the operations of its management and participate in their development to improve their efficiency and operations. 

Collaborate on budget administration, such as providing receipts, or invoices to Purchasing tech and/or Payroll Coordinator

Filing of employee file information with collaboration of the payroll coordinator and/or Director General such documentation as employee accounting forms, changes in salary, disciplinary measures…

Prepare documents for dissemination and presentation, participate in the production of various administrative reports, and ensure their technical organization using appropriate technologies. 

Collect the mail of the association and provide mail to correct member of association, the Director General, the President, or administrative staff of the association.

Assist the Director General and other staff in the preparation and use of the conference calls.

Ensure that the Youth Houses have agendas to produce the monthly reports.

Coordinate with each coordinator, receive monthly reports from Coordinators, analyze data and provide information for use by the Director General 

Classify folders in the NYHA Drobox 

Make flight and hotel reservations for the NYHA employees and for participants of the training sessions.

Send the Job Postings and organize the interviews for the hiring of coordinators and regional resources.

Organize training session with Director General and Consultant on Training 

Do any tasks requested by the Director General.

WORKING CONDITIONS

- The Secretary will be working at the head office located at the co-op in Inukjuaq from 9am to 5pm, from Monday to Friday for a total of 35 hours a week.

- The salary will be based on experience and according to the salary scale. 

- According to the NYHA working conditions, each employee after a 6-month probation period (910 hours), the employee is entitled to become permanent with additional benefits (Special leaves, annual trips, cargo, health care, pension plan)


REQUIREMENTS

- The person must be very responsible, organized, and assiduous.

- Experience with computers, Microsoft Office (Word, Excel, etc.).

- Secondary V. Exceptional experience, knowledge and abilities could compensate for education.

- Reading and writing abilities must be very strong.

- Knowledge of the Nunavik Youth Houses Association and Youth Centers is an asset.
